RCI Theatricals, a NYC-based theatrical general management company, is seeking an Office & Intern Coordinator to join its team managing multiple Broadway, Off-Broadway, national touring, special projects, and developmental productions.

RCI is looking for a self-starting, highly organized, and proactive Office & Intern Coordinator for their New York City office. This is a key support role, responsible for the day-to-day operations of all office systems, supplies, technology, facilities, maintenance, and information. This position offers support across RCI Staff and Company Management teams, both in the office and on the road, and oversees the internship program, which runs three cycles annually.
Duties may include, but are not limited to the following:
Office Coordination
- Managing daily operations of all office systems, appliances, and spaces.
- Managing RCI’s Front Office, including the office phone line and front-facing email accounts, taking in deliveries, overseeing pick-ups, and greeting any visitors.
- Upkeep of RCI’s website and social media platforms.
- Overseeing all office organization and cleanliness, particularly of shared spaces.
- Maintaining, ordering, and keeping an organized stock of office supplies.
- Coordinating the onboarding and offboarding needs of RCI staff, interns, and company managers.
- Managing IT systems and needs, including overseeing the local network, cloud-based server, and all office computers, printers, scanners, phones, headsets, etc., and relevant software.
- Reconciling office and show expenses.
- Producing and maintaining essential internal documents and calendars, such as contact sheets, staff meeting minutes, and company bios and billing block.
- Acting as the point person for all facilities' needs, including AC/Heat, office cleaning, and building maintenance.
- Organizing office celebrations, including birthdays, special events, the office holiday party, and assisting with the needs of our weekly office happy hour.
- Spearheading any special office initiatives or projects as they arise.
Internship Program Coordination
- Conducting search processes, hiring, and training for all interns.
- Providing daily supervision and leadership, helping interns manage ongoing tasks and projects, and offering insight and guidance when necessary.
- Scheduling seminars and discussions with RCI staff and company managers, seeking out enrichment opportunities, and creating other educational opportunities for interns.
- Engaging in mentorship and training with interns, including holding weekly check-ins, mid-cycle 1:1s, and exit interviews.
Additional Support Duties May Include:
- Supporting the office’s General and Company Management teams through assisting with supplies and logistical needs for 29-hour readings and other developmental work sessions, rehearsals for NYC and touring shows, invited dress rehearsals, opening night celebrations, award season campaigns, returns of capital and profit distributions, tax season, and more.
Qualifications/Requirements:
- 2-3 years of prior administrative experience
- Strong proficiency in office technologies, software, and digital platforms
- Experience managing interns or staff
- Experience coordinating facilities and vendor needs - COIs, maintenance requests, contractors

Hours: In-office hours are Monday through Friday, 10 AM - 6 PM. Additional evening or weekend commitments may arise and will be addressed on a case-by-case basis.
